Revision & Query - Purchase, Sale Orders

Order lines Revision and Query to Customers

  • You can revise the values on the Sale, Purchase Order lines not just directly changing the values, but this follows a systematic procedure for revision.
  • You can ask Query to the Customers & Vendors who are related to the Sale, Purchase Orders.
  • This module offers a key feature of tracking the revised values and maintaining the history for Queries & Responses.

Revision Process

On the Sale Quotations & Orders

  • When Users responsible for Sales logs in and opens the Sale Quotation/Order form, a button named 'Revise' is available. There are no restrictions on the button visibility except its visibility is restricted to the Customers.
  • Once the 'Revise' button is clicked, a label 'Under Revision' is displayed on the form to make the User recognize the form is under revision.
  • In the Order lines, the revision is allowed on the highlighted columns as shown in the figure below.
  • It is mandatory to close the revision once the changes are applied.
  • A wizard is popped up when the 'Close Revision' button is clicked. This provides an option to send email to the Customers.
  • Email Notification is sent to the Customer of the Sale Order. The Email body has the changes that were made during the Revision.
  • All the changes made during the Revision are tracked under the Revision History tab, saving the details like Revision Count, Revised By and Description.
  • Displays the Revision Count allowing the User to understand how many revisions are made till.
  • Note that the process is same on both the Sale Quotation & Order forms.

On the Purchase Quotations & Orders

  • When the Users responsible for Purchases logs in and opens the Purchase Quotation/Order form, a button named 'Revise' is available. There are no restrictions on the button visibility except its visibility is restricted to the Vendors.
  • Once the 'Revise' button is clicked, a label 'Under Revision' is displayed on the form to easily make User recognize that the form is under revision.

  • Note that the process is same on both the Purchase Quotation & Order forms.

Query Process

On the Sales Quotations & Orders

  • A button named 'Query' is showed on the Sales Quotation/Order forms.
  • Once the 'Query' button is clicked, a wizard is popped up asking the Query to be entered.
  • Email Notification is sent to the Customer soon after the query is submitted.
  • The Query related details are posted under the Queries tab containing all the information.
  • Customer who should be under Portal Group, should log in and go to the menu Sale Order Query.
  • From there the customer should find the record which is under query. Provided the button 'Answer Query' on the list view.
  • A wizard is popped up when the 'Answer Query' button is clicked. Customer should provide the answer and proceed to submit.
  • Email Notification is trigerred to the User who asked the Query.
  • Now check the Queries tab, the history is been tracked for every details.
  • Note that the process is same on both the Sale Quotation & Order forms.
