Schedule

Go to Driving school / Schedule menu.

You have the ability to view the schedules of all instructors simultaneously. Additionally, you can create new time slots for an instructor and customize their state according to your requirements. There are four distinct schedule states:

• Draft: This state is assigned when a new time slot is created.
• Available: When you post a time slot, it becomes visible to all students.
• Locked: You can set a time slot to "Locked" when you need it to be available for your reference but hidden from students.
• Booked: Once a student selects a time slot, it is marked as "Booked.

These states provide a clear and organized way to manage and communicate the availability of time slots within the scheduling system.

Schedule generator

Go to Driving school / Generate schedule menu.

The schedule generator is a powerful tool that empowers you to effortlessly design and create your schedules. With the Schedule Generator, you have the flexibility to add days and instructors as needed, providing a customizable solution to meet the unique demands of your business or organization. This feature streamlines the process of building schedules, offering convenience and efficiency.

It operates seamlessly, taking into account the working hours of your instructors. It intelligently factors in their availability, ensuring that the generated schedules align perfectly with their work hours.

Bookings

Go to Driving school / Bookings menu.

You can easily book classes. Whether you're a student or an administrator, the process is straightforward. You have the flexibility to book classes by either selecting specific dates or choosing from various available instructors. The booking can fall into one of these states:

• Draft: When you create a new class booking, it starts as a "Draft," allowing you to prepare and review the details before confirmation.
• Confirmed: Once you're ready to schedule the class, you can confirm it.
• Done: After a class is successfully completed, you can mark it as "Done" to indicate that it has been fulfilled.
• Absent: In cases where a student is missing from a class, the state can be changed to "Absent."
• Cancel: To indicate the cancellation of a class booking, the state can be switched to "Cancel." The "Cancel" state reopens slots for new bookings."

Students

Go to Driving school / Students menu.

The Students functionality provides a range of essential features that include creating, editing, and managing student profiles.

Additionally, you have the flexibility to check the information relative to Sales orders, booking details, and others. With the ability to create new student profiles, you can input essential information and details, such as their name, contact information, etc, and assign it to specific instructors.

Sales Orders

Go to Driving school / Orders menu.

The Sale Order functionality within our booking system offers a seamless and efficient way to manage service orders created by students. With this feature, you can easily generate orders that reflect the services contracted by your students. It provides a user-friendly interface where administrators can specify and confirm the services requests, such as driving lessons, or any other offered services.

Vehicles

Go to Driving school / Settings / Vehicles menu.

You can create new vehicles and edit the details of each one. You can also assign a driver to the vehicle.

Instructors

Go to Driving school / Settings / Instructors menu.

You can create new instructors and edit the details of each one. You should assign it to the "Instructors" department. You could also see the information relative to students, vehicles, and working times.

Services

Go to Driving school / Settings / Services menu.

You have the flexibility to establish new services and define their prices.

You can also define variations for each service, such as package deals or other options, to offer your customers more choices.

Working Hours

Go to Driving school / Settings / Working Hours menu.

The system allows you to define multiple Working Times according to your specific needs, offering flexible configuration options.

Default settings

Go to Driving school / Settings / Default settings menu.

The system includes default settings to simplify the configuration process.

• Booking length time (Hrs): is the system's default duration for appointments or bookings, ensuring standard time slots are allocated without manual adjustments.
• Cancellation time limit (Hrs): is a default configuration setting that determines the period during which a user can cancel a booking or reservation. Once this time limit has passed, the cancellation option may no longer be available, and the user may be subject to cancellation fees or restrictions.
• Weekly booking allowance (Hrs): is the maximum of reservations or bookings a user is allowed to make in a single week. It serves as a standard limitation, ensuring fair and manageable access to resources, services, or appointments within a week. This default setting can often be adjusted or customized for each student.
  • When the value equals 0, you can pass over this validation
  • A value greater than 0 enables you to perform this validation.

Users - Groups

Go to Settings / Users & Companies / Users menu.

Dear administrators, as you create new user accounts in the system, kindly remember to configure the roles assigned to each user. Proper role assignment is crucial for maintaining security, access control, and effective system operation. Ensuring that users have the appropriate permissions and restrictions aligned with their responsibilities will contribute to a smoother and more secure user experience.

Tips

Time format

Go to Settings / Translations / Languages menu.

To enhance your software experience, consider modifying the time format. By default, it displays hours, minutes, and seconds, but you may find it unnecessary to show seconds when creating schedules or bookings
