Preconditions to send a WhatsApp message to any contact

  • Type:- You can get the type of record for example invoice or sale order is coming from point of sale or general sale order.
  • Check you have only one database(in case multiple databases are there then bidirectional functionality will not work).
  • Check you have an https Odoo url.
  • If the QR code is not scanned from Odoo or chat api: If the QR code is not scanned from Odoo or apichat then it will not work.

Hence, from this report company will understand about the tax value. Tax amount is very important during audit of a company. Hence this report is extremely important for any company.

Setup & Functionality

In Odoo, go to Whatsapp Central Menu → Whatsapp Central Here you can create the parent child records.

Hierarchy Level.

We have defined this above level hierarchy. Currently we have configured the different actions in particular records. for example in Gucci Jacket we have set the Here we have defined the Action and we have also set the type. We have defined the following type in the action:

Send Text: You can send the text message whatever you have set in the URL as a text.

Send Image: It will send the image file you have set in the URL.

Send Video: It will send the Video file of the set URL.

Send Audio: It will send the Audio file of the set URL.

Send File: It will send the File of the set URL.

We can set as per our requirements and select the type and set the URL.

After setting up all the configuration of the action type. We just need to send the message on the scanned number. By default the initial message is the hello, hey or hi and it is the configuration which we have defined above.

When we send the message Hello, Hey or Hi. This is not case sensitive. It will give the response based on what we have configured.

If we type M or m it will give another response based on what we have configured.

If we send the wrong code then it will give the below message.

If we send the proper code like AP or ap etc then it will give the below response.

If we want to go to the Main Menu (We can send the * ) or Previous Menu (We can send the #) then we can also send the code for that. This code is also dynamic for Main and Previous Menu. We can configure this depending on our requirements.

If we send the *(Which we have set the Main Menu Code) then it will give the Main Menu response.

Again we send then M then send the AP so it will return the below Message.

In this Example we have added the 4 to 5 level Hierarchy.

If we type 1 and send then it will give us another list of the options and again if I type lj or LJ then it will give us another menu. This is the last one. It is based on the configuration.

In the above last message we have configured a different action. This example is set for the testing purpose.

Now i Type the L1 and send it. It will give the below response.

Here it gives the response the Audio File and the Image File because we have configured it in the action. Which we have already configured above.

If we Type the L2 and send it. It will give the below response.

Configuration

It is difficult to get a signup for WhatsApp for business directly and get access to the API as the signup process takes too long. Hence, it is better to sign up for third party whatsapp API services such as Chat API. Also selenium could be used for free but it is not robust and reliable and cannot handle large volumes of load.



You need to signup for a Chat Api account:

Click on “Add new Instance” to create an instance.

Click on create Instance. Fill all mandatory fields to create an account.

After an account is created on the chat api.
We get a whatsapp instance endpoint & whatsapp token.

If you create a free account then your account will expire in 3 days after that you need to purchase a subscription

If you scan QR code from chat api no need to scan QR code from odoo & vice versa.

Copy whatsapp endpoint (without last “/”) & whatsapp token.

In odoo, go to General Settings and Paste the credentials for Whatsapp Instance Endpoint (without last “/”) and Whatsapp token copied from whatsapp chat api.

If you scan QR code from chat api no need to scan QR code from odoo & vice versa.

Click on Get QR Code & scan QR code from mobile Whatsapp Web.

After you scan QR code from your mobile is authenticated

Following conditions need to rescan QR code:

  1. If the QR code is not scanned within 45 seconds, the QR code will expire.
  2. If whatsapp endpoint or whatsapp token is not added correctly & not getting QR code.
  3. If the authentication fails/accidently wizard is closed then you need to click on the logout button after that click on Get QR code.

Configuration of bidirectional messages (send & receive messages from whatsapp in Odoo):

In odoo activate developer mode Goto Technical → System Parameters → web.base.url → Copy Value

Chat API Configuration:-

In the webhook url you need to paste the value (copied from odoo web.base.url) after that add “/whatsapp/responce/message”

Webhook url : base url + /whatsapp/responce/message

In the configuration of the chat API refer to the below example & enable all fields (Acknowledge(ACK), Notification of changes in chats, Notification of changes in status, Not send old messages after authorization, Turn on video uploading ) & click on save.


Preconditions to send a WhatsApp message to any contact:


1) Check you have only one database(in case multiple databases are there then bidirectional functionality will not work).

2) Check you have an https odoo url.

3) If the QR code is not scanned from odoo or chat api:

If the QR code is not scanned from odoo or chat api & send messages from Contacts, sale order, account invoice,account payment, credit notes,etc then you will get a user error message Please authorize your mobile number with chat api.

4) Need to add country code in contacts:

In contact form If a country code is not added & add only mobile then by default a random country code is added to mobile. When you clicked on the whatsapp icon from the receipts you didn't have any contact selected.

Step 5: After Selecting Page ,then after just click on Done . You will be redirected to the confirmation page. click on the “OK” button to complete the authentication part.

To send a message to a specific contact, open any contact that has a proper mobile number. On form view click on the whatsapp logo button present after the mobile number. This will open a new wizard where you can add your message,attachment like doc,image, video then click on the SEND button

When you click on the send button from the wizard & if the mobile number does not exist on whatsapp then it will give an user error.

When we click on the send button & if the QR code is not scanned from odoo/chat api then it gives an error message (Please authorize your mobile number with chat api).

2) Send messages to multiple customers using Send Whatsapp message menu

To send a message to multiple contacts. Click on Send Whatsapp Message menu this will open a new wizard. In this wizard only those recipients have a country & mobile. You can add your message,attachment like doc,image, video then click on the SEND button.

3) Provides Access Control permission of WhatsApp messages to all apps.

To enable the send whatsapp message button from Sale order, account invoice, account payment, purchase order and delivery order you need to give respective access rights.




4) Add user signature to WhatsApp

Add signature to sale order,account invoice, account payment, credit notes, purchase order and delivery order, CRM, Project Task.

Go to Settings → User → Preferences

5) Sales order:

You can Send a whatsapp message to a customer mobile number by clicking on send whatsapp message from sale order form view.

Configuration:


You can send a whatsapp message by configuring Add signature, Add order information, Add product details, Add message in chatter.

Goto Sales → Configuration → Settings

If order product details are enabled then the product name, unit price, quantity and subtotal is added in the whatsapp message.

7) Accounts Invoice:

You can send Invoice details to a customer mobile number by clicking on send whatsapp message from account invoice form view.

Configuration:

a) Add Signature:

From user → Preference email signature is added in whatsapp message by enabling add signature.

8) Account Payments:

Same as account invoice functionality we have used for account payments.
We can send messages from account payment by configuring add signature, add order information in message, add product order details in message & add message in chatter.

9) Credit Notes:

Same as account invoice functionality we have used for credit notes.
We can send messages from credit note by configuring add signature, add order information in message, add product order details in message & add message in chatter.

10) Delivery order:

You can Send a whatsapp message to a customer's mobile number by clicking on send whatsapp message from the delivery order form view.

11) Purchase order:

You can Send a whatsapp message to a customer's mobile number by clicking
on send whatsapp message from account invoice form view.

Goto Purchase → Configuration → Settings

a) Add Signature:

From user → Preference email signature is added in whatsapp message by enabling add signature.

12) CRM

We send newly created lead information to the assigned salesperson.
To activate lead menu in CRM goto Settings → Users & Companies → Users → select login user → enable Show Lead menu

a) Add Signature:

From user → Preference email signature is added in whatsapp message by enabling add signature.

13) Project Task:

We send newly created task information to the assigned salesperson.

Goto Project → Configuration → Stages → Create stage (Give name is Done or done).

When a task is created a message is sent to the assigned user’s whatsapp mobile number.

If the user replies to the same message as Done or done and when the background scheduler is run, that particular task stage changes to Done.

13) Point Of Sale:

When an order is created from a point of sale, order details are sent to the customer's mobile number in text format.

Create an order → click on Send Whatsapp Message

14) Schedulers:

Goto Technical → Scheduled Actions

By default all whatsapp schedulers are disabled

i) Whatsapp - Assigned task done:

Goto Project → Configuration → Stages → Create stage (Give name is Done or done).

If the user replies to the same message as Done or done and when the background scheduler is run, that particular task stage changes to Done.

ii) Whatsapp - Payment reminder send message

For payment reminders, if a customer overdue an invoice then a message will be
sent on customer mobile using the “Whatsapp - Payment reminder send message” scheduler.

15) User Signup Page:

From the website user signup page, if the user enters the mobile number & country then a Welcome message will be sent to corresponding mobile number

16) Bi-directional feature

Connector can send & receive messages from whatsapp in Odoo:
When we send a message from odoo, a message is added in the form view of the respective contact and in the master of the WhatsApp message as shown in the below screenshot.

i) Contact Form

Whatsapp sent & received messages are shown in the contact form view of the Whatsapp Messages.

Odoo is used by users.
Odoobot is part of the pre-approved SMEs Go Digital solutions specializing in Ecommerce Website Software
equipped with Enterprise Resource Planning modules. When operators are unavailable in Odoo & one of the
users sends messages to the operator then the message is sent to their mobile number.

Configuration:

Goto Live chat → create new channel

In the Channel Rules page select Auto popup, add URL Regex, Auto popup timer. Publish channel.

You can be an operator.

Odoo Interface

Step 1: Go to General Settings and Paste the credentials for Whatsapp Instance and Whatsapp token copied from whatsapp chat api.

Step 2: Click on Get QR Code & scan QR code from mobile Whatsapp Web.

Step 3: After you scan the QR code from your mobile, it is authenticated.

Step 4: For initiation of consumer interest or enquiry into products or services of a business through WhatsApp chat.

Whatsapp Odoo POS Integration

Overview

The POS Whatsapp integration module allows POS operators to not only send whatsapp messages to the customers on the register mobile number which is registered on the whatsapp, but also enable them to send the order receipt in the image form. It also allows them to send messages on the whatsapp group which makes life easier when it comes to sending promotional messages to the group of customers.

Configuration

Navigation > Point of Sale > Configuration > Point of Sale

  • Whatsapp message: Allows users to send messages to specific customers.
  • Whatsapp group message: Allows users to send messages to a whatsapp group.
  • Whatsapp POS Receipt: This feature allows users to send the order receipt to the customer manually.
  • Whatsapp POS Receipt Auto: It enables the system to send the order receipt to the customer automatically.
  • Whatsapp Template: This feature activates the template option in the POS module under configuration menu. Users can create whatsapp message templates as many as needed, and these templates are used while sending the messages to the customers. The content of a template can be modified before sending to the customers.

Create the templates

In the template, the user is required to enter the heading, the template and the content of the template/message.

The whatsapp messages to the customers can be sent while selecting the selecting and searching the customer to generate a POS order. After having the desired result of the customer search, click on the whatsapp icon in the customer’s name line.

‘Send Message?’ wind appears, select the desired message template, modify the content if required and then click on the ‘Send’ button.

The message sent by the POS operator is received by the customer.

To send the whatsapp message to a whatsapp, click on the ‘Group Message’ button. A window will appear bearing the whatsapp group list of the account by which whatsapp is signed in. choose the group and template and click on the send button.
