Users Roles

  • 1 Receptionist

    • The receptionist at the workshop can create repair orders with basic details and manage customer information.
  • 2 Manager

    • The manager has access to all menus, allowing them to manage all aspects of the service department
    • The manager can cancel repair orders when needed due to changing circumstances, or if the repair is no longer feasible.
    • The manager can mark a repair order as complete once the machine repair is finished.
  • 3 Supervisor

    • The supervisor can supervise the entire repair process, including reviewing the technician's work and ensuring it meets standards.
    • The supervisor can mark a repair order as complete after the machine repair is finished.
  • 4 Technician

    • Technicians have the ability to create and manage machine repair orders
    • Technicians can review machine repair orders by submitting a request to their supervisor.

Dashboard

Stats

The dashboard shows repair order statistics, including total orders, assigned, in progress, reviewed, completed, and cancelled orders, as well as overall service manager, supervisor, and technician stats.

Graphs

The dashboard provides visual displays for quick reference, such as repair order status, monthly sales, payment status, top services, and repair time duration.

Work Flow

The machine repair order follows a workflow of: New => Assign to Technician => In Progress => Review => Complete => Cancel

Machine Details

You can manage the repair machine details such as the machine's brand, model, manufacturing year, brand, serial number, etc.

Customer Details

The module allows you to manage the customer details for machine repair, including their name, phone number, email, and service location.

General Information's

You can manage the repair company details, as well as the receiving and delivery dates of the machine repair. Additionally, you can manage the service managers and supervisors.

Team details

You can manage the machine repair service team, select technicians based on skills/availability and create machine repair-related tasks, assigning technicians to them.

Assign to technicians

The assignment of technicians to diagnosis a machine repair allows for more effective identification and resolution of problems.

Problem Descriptions

You can add problem descriptions and add previous service history to easily find solutions in this module.

Inspection Images

This module allows the use of images to provide visual documentation of the machine repair inspection process.

Required Parts/Services

It is possible to handle the necessary spare parts and services for machine repairs.

Supervisor Inspections

The supervisor oversees the repair process, including checking the technician's work and ensuring it meets standards.

Repair Orders

  • Repair orders can be created directly from the website
    • Repair order details
    • Customers can view the service requests they have created and submitted
    • If a repair order request is created through the website, a label will be printed.
  • Select team-based technician for machine repair
  • Details of machine repair inspections with images
  • The 'Quotation' button is visible only to managers, supervisors, and receptionists
  • Sale order details
  • In the 'Reject' stage, the 'Reset to Draft' button allows a transition back to 'Inspection Mode'
  • By clicking the 'Reset to Draft' button, the stage reverts from 'Reject' to 'Inspection Mode'
  • When the customer approves the quotation, clicking the 'Approve' button shifts the stage from 'Quotation Sent' to 'Quotation Approved'
  • Upon quotation approval, clicking the 'Confirm' button generates a delivery order for further processing.
  • When the customer approves the quotation, clicking the 'Approve' button shifts the stage from 'Quotation Sent' to 'Quotation Approved'
  • If some tasks are pending, clicking 'Work is Completed' displays a warning message.
  • When all tasks are completed, clicking 'Work is Completed' makes the ribbon visible, while the button itself becomes invisible.
  • You can add work-related time sheets to effectively track and manage the time spent on completing tasks.
  • Once all machine repair work is finished, the 'Review' button appears in the 'In Progress' stage.
  • The 'Complete' button is accessible and clickable exclusively for managers, supervisors, and receptionists.
  • By clicking the 'Complete' button, an email confirming the completion of the repair order is automatically sent to the customer for notification.
