Overview of the
Time Tracker For Bureaucrat Helpdesk Lite

This is the Bureaucrat Helpdesk Lite module from the Odoo app store. While working with General Time Tracker, it generates a Sticker for each Service Request, which is then processed according to established rules. It also provides a summary of the progress of the respective actions on each of them.

Create or find a sticker associated with a Service Request

The creation of a Sticker associated with a Service Request occurs automatically when you click on the button in any of the two ways shown in the video. Otherwise, the transition occurs to an already existing Sticker.

Summary metrics for the sticker associated with a Service Request

  • Expected Duration - the planned time spent.
  • Duration of Completed - the total amount of time spent by all users to complete a Service Request.
  • Duration Deviation (%) - the difference between the Expected Duration and the Completed Duration, expressed as a percentage.

General Time Tracker

Control panel

This is the functionality of the General Time Tracker module. Allows you to track the status of active (executable) Stickers in real time, as well as perform operations with tracks: start, stop, etc.

Short term planning

This is the functionality of the General Time Tracker module. Allows you to plan working time and work goals (Stickers) of employees.

Reports

This is the functionality of the General Time Tracker module. Provides reports on the cost of working time, payload and planning the work goals (Stickers) of employees.

Timesheets

This is the functionality of the General Time Tracker module. Timesheets can be created automatically for each Sticker based on the Task Log module from the standard Odoo distribution.

Project

This is the standard Project module in the Odoo distribution. While working with General Time Tracker, it generates a Sticker for each Task, which is then processed according to established rules. It also provides a summary of the progress of the respective actions not only for each Task, but for the associated Project as a whole.

CRM

This is the standard CRM module in the Odoo distribution. While working with General Time Tracker, it generates a Sticker for each Lead, which is then processed according to established rules. It also provides a summary of the progress of the respective actions on each of them.

Bureaucrat Helpdesk Lite

This is the Bureaucrat Helpdesk Lite module from the Odoo app store. While working with General Time Tracker, it generates a Sticker for each Service Request, which is then processed according to established rules. Repairs

This is the standard Repair module in the Odoo distribution. While working with General Time Tracker, it generates a Sticker for each Repair Order, which is then processed according to established rules. It also provides a summary of the progress of the respective actions on each of them.

Stickers as
a workflow tracking tool

Moving Stickers in a Workflow

Operations on Stickers are performed in the Control Panel section of the application. From the moment of creation to the moment of completion, each Sticker goes through the following four Stages:

  • New
  • Suspended
  • Continued
  • Done.

Managing sticker execution stages

Can be done with the buttons:

  • Start
  • Continue
  • Suspend
  • Done
  • Cancel.

As a result, records (Tracks) associated with the Sticker are created with the date and time of the start and end of the corresponding workflow.

Sticker Time Log view and edit

Changes are made by the Odoo tools not only by the direct user, but by the user in the role of Officer, who can modify and create Tracks from other users, as a process dispatcher.
All Tracks are marked with a color marking, which determines both their belonging to the current user and the state of their execution: Active, Completed by the user, or Completed forcibly when another Track is started.

The process of changing the Time Log of a Sticker supports checking for new Track attributes, without regard to belonging to Stickers, to avoid overlapping or merging the periods that belong to them.

How the Timesheet of the Sticker is creating?

During the user's work with the Sticker, the Timesheet is generated automatically. When creating a Sticker, Timesheet is not allowed by default (Allow Timesheets False).
You can allow the Timesheet even if the Sticker Time Log already contains Tracks. You must use the Export to Timesheet button after you allow it.

It should be noted that the Project Task and its corresponding Sticker share the same Timesheet.

Managing user Access to Stickers

Possible in the following ways:

  • Exclusive Users - allows you to define users who have exclusive access to the Sticker.
  • Track current user - allows you to display only Tracks of the current user in the Sticker.


Using the Only user tracks option distorts the indicators: Duration of Completed and Duration Deviation (%). In the process of calculating these indicators, the data of other users who worked with this Sticker are not used.

In addition, for all modules, except for the Repairs and Bureaucrat Helpdesk Lite modules, Record Rules are supported. That is, the Sticker is available to the user only if the record it comes from is available.

View all Tracks of Stickers

To display all Tracks available to the user, use the section (View) All Time Tracks. All data mining tools that exist in Odoo are available here: list, graphical and tabular reports.

Features of working in the Multiple companies mode

A created Sticker is always assigned the Company of the record from which it was created. The exceptions are the Notes and Bureaucrat Helpdesk Lite modules, which do not support Multiple Companies mode.

Employee Work Hours Planning

The planning of the time worked by an employee is carried out by the indicator Hours Worked. The corresponding entry here can be generated, in its absence, during the user's work automatically on the current date or added manually on the required date. By default, the value of Hours Worked is calculated from the state of the employee account settings: Default Working Hours and 2 Weeks Mode, and then changed according to the required value.

Planning Employee work goals

Planning the work goals of employees is done by creating a list of existing Stickers, in accordance with the requirement of the priorities of the work performed. Employees may create such plans on their own under the supervision of an authorized officer.

Evaluation of the conscientiousness of work performers

A daily set of indicators that allows you to determine the difference between the start time of the employee's working day (Work From) and the start time of the first Track (First Track Time), as well as the end time of the last Track (Last Track Time) and the end time of the employee's working day (Work To). Evaluation of these indicators in conjunction with the indicator Hours worked allows you to evaluate the usefulness of the employee's use of working time.

Features of working in in the Multiple companies mode

The Hours Worked record that is created is always assigned to the company to which the user belongs, according to their account settings. This approach is the vision of the author of the application and makes it possible to study the labor costs of an employee within one company.

Time spent report

It explores indicators of time spent by employees not only in certain calendar periods, but also to achieve goals, which are interpreted in the application using Stickers. All data mining tools that exist in Odoo are available here: list, graphical and tabular reports.

Payload Report

It shows the employees payload (Real Payload), which is calculated daily as the ratio of the hours worked (Tracker Duration) to the employees total scheduled work hours (Hours Worked) as a percentage.
For comparison, the report shows the employees expected payload ratio (Expected Payload), which is set by the employees account settings.

Short term planning report

Allows you to track the planned goals of the work of employees (Stickers) in different calendar periods.

Evaluation of the information received at the planning stage helps to improve the organization of the work performed and accelerates the achievement of the set goals.

For a user with User privileges, using the Personalization of custom Time tracker reports parameter distorts the following indicators in reports: Total hours worked, Total duration, Average expected payload and Average Payload. In the process of calculating these indicators, data from other users is not used.

Set employee details used in reports

To analyze some indicators in the Reports, it is necessary to set the following details for Employees:

  • Timesheet Cost - the cost of one hour of the employee's working time.
  • Payload - the share of useful labour (without non-production losses) in the total duration of the employee's working time, expressed in %

Setting up reports for users with User rights

Executed in Developer mode:

  • Allow reports for Time tracker user - gives the user access to the Reports menu.
  • Personalization of Time tracker user reports - restricts the user's access to the data of other users.
